This article provides an overview of the sample CSV file that we recommend using when you complete a data import.
Sample CSV File
When you log in to the matching module and navigate to Data Import/Export --> Data Import, you have the ability to view the sample CSV File. We ask you to format your CSV File according to the sample file included in your account. The columns MUST match that of the sample file in order for the file to be imported properly.
Within your CSV File, you have to include the following columns:
- Campaign name
- Identifier
- Amount
- Phone Number
- First name
- Last Name
- Company Name (if you have it)
- Timestamp
You must include the column titles just like the sample CSV file. We recommend including a value for each field, but the only required fields are Campaign and Identifier. The other fields can be left blank for a donation record if you do not have the information.
Campaign
If you don't have specific campaign names, you can use the same campaign name.
Amount
The donation amount should include numbers with decimals. Make sure not to include special characters in this column.
Identifier
Your Identifier column needs to be a unique set of numbers and letters for each donation record; they can be a random set of numbers/letters, but they must be unique for each donation record. Often organizations will use the donation's ID number in the identifier column.
Company Name
Include company names associated with your donation records if you have them within your system. The matching module will try to map your company names included with our company names included in our matching gift database as companies with a matching gift program.
Time Stamp
You can Backdate your donation date or put the date as the date you are importing the donation records. Some organizations align the time stamp with the donation date for that specific donation record within their system. The date needs to be in the format of MM/DD/YYYY or YYYY-MM-DD.
Keep in mind that if you choose to backdate the time stamp, the donation record will be in chronological order within your Donations Tab.
Even if the donation records are backdated, the donation history will show the record as being imported to the matching module on the date of import. The {{donation_date}} within automated email streams will be the date determined with the Time Stamp.
Importing the CSV File
When you import the CSV File, you will be notified of how many records were imported properly.
If not all of your donation records were successfully uploaded, it is likely that not all donation records were formatted correctly. Click "Start Over" if you'd like to import another CSV file. You'll be able to Preview the first 10 donation records within your CSV file.
