Understanding Email Icons

This article explains the different email icons you’ll see in the Emails column of the Donations table. It covers what each color-coded icon means and how to interpret them for better tracking and follow-up with your donors.

Email Icon Meanings

Each icon represents a specific email status related to the donor’s engagement. The number of icons corresponds to the number of emails sent to a donor. For example, two email icons means two emails were sent to that donor, while one icon means only one email was sent.

Icon Color and Meaning

Here’s a breakdown of what each color-coded email icon indicates:

Icon Color Email Icon Meaning
Green The email was delivered and opened by the donor.
Dark Gray The email was delivered but not opened by the donor.
Light Gray The email is scheduled to be sent. Hover over the icon to see the scheduled time.
Red The email bounced and was not delivered.
Yellow The email was not sent. Hover over the icon to see why it was not sent.

How to View Email Details

When you click on any of the email icons, a new window will open, showing detailed information about the email that was sent to the donor. This includes:

  • Sent On: The date and time the email was sent.

  • Subject: The subject line of the email.

  • Email Type: This tells you which email stream was used (e.g., initial or follow-up).

  • Donor Status: The status of the donation record at the time the email was sent.

Best Practices for Tracking Emails

  • Monitor Donor Engagement: Keep an eye on the green and dark gray icons to assess how engaged your donors are with the emails.

  • Follow Up: For donors with unopened emails (dark gray), consider following up to encourage them to take action.

  • Address Bounced Emails: When you see a red icon, investigate the bounce reason to correct potential issues with the email address.

  • Schedule Resends: If an email wasn’t sent (yellow icon), review the reason and ensure that resends are configured correctly.
