Overview of Automated Email Streams
The automated email streams in Double the Donation Volunteering help your organization engage volunteers with relevant incentives. These email streams are part of the Volunteering Standard Plan and can be configured to automatically send emails based on the data entered during volunteer registration.
Key Email Streams Available:

Volunteer Incentives Available: Sent to volunteers who have identified that they work for a company offering volunteer incentives, such as grants or PTO for volunteering.

Discover Volunteer Incentives: Sent to volunteers who haven’t identified their employer or used the matching gift search tool during registration. These emails encourage them to check for volunteer incentives based on their company.
How It Works
When a volunteer registers through your integrated volunteer management platform, their record may be placed into one of the two email streams automatically, depending on whether or not they have selected their employer.
Email Stream: Volunteer Incentives Available
Volunteers who provide a corporate email address or use the matching gift search tool during the registration process will be placed in this email stream. The email sent will contain information about the volunteer incentives program their employer offers.
Example:
If a volunteer’s company offers a volunteer grant, the plugin will display relevant information on the confirmation page, and the volunteer will receive a follow-up email with instructions on how to claim the grant.
Email Stream: Discover Volunteer Incentives
If a volunteer provides a non-corporate email address or doesn’t use the matching gift search tool, they will be placed in the Discover Volunteer Incentives email stream. These volunteers are encouraged to self-report their employer to discover potential volunteer incentives.
Example:
The volunteer receives an automated email prompting them to check if their employer offers volunteer incentives, with a link to search their company.
Customizing Email Streams
Each email stream can be easily customized to suit your organization's needs. Below are the customizations available for both email streams:
1. Enable/Disable the Email Stream
You can toggle each email stream on or off by clicking the toggle button. The button will turn blue when the stream is enabled.
2. Adjust Email Sending Time
You can set when the email will be sent based on when the volunteer record enters the system.
3. Edit Email Subject Line and Body
Customize the subject line and body of the email using email template variables to personalize the messages.
4. Preview and Test Emails
Before sending emails to your volunteers, you can preview each email and send test emails to yourself to ensure the formatting and content are correct. Read this article to learn about previewing your email messages' appearance.

Double the Donation provides email template variables that allow you to personalize the email content. These variables can be used to dynamically insert donor or company-specific information into the email body, making the communication more relevant and engaging.
