What Do the Different Volunteering Grant Statuses Mean?

Overview of Volunteer Grant Statuses

Each volunteer registration record in Double the Donation has two key statuses:

  1. Volunteer Grant Stage: Indicates the volunteer’s progress in the volunteer grant process.

  2. Employer Identification: Tracks the status of identifying the volunteer’s employer.

This article will explain what each status means, how it updates, and when you need to take action.

Volunteer Grant Stage Statuses

The Volunteer Grant Stage statuses track the volunteer’s progression in the volunteer grant process. These include both automatic statuses and manual statuses.

Initial Registration Record Statuses:

  • Employer Identification in Progress:
    The volunteer has not provided their employer information and has used a personal email address (e.g., Gmail, Yahoo).

  • Waiting for Volunteer:
    The volunteer works for a company with a volunteer grant program but has not yet taken action. This status remains until:

    • The volunteer interacts with automated emails.

    • Or the status is updated manually by your organization.

  • Closed:
    Registration for the volunteer grant is no longer being pursued. This status can have sub-categories, such as:

    • Ineligible for Volunteer Grant (No Grant Available): The volunteer’s employer was found, but no volunteer grant is available.

    • Ineligible for Volunteer Grant (Did Not Attend): This status is manual. You can mark it if the volunteer did not attend the required event.

Automatic Statuses:

These statuses update automatically based on the volunteer's actions and progress:

  • Waiting for Volunteer: The volunteer is eligible for a grant, but no activity has occurred yet.

  • Employer Identification in Progress: Employer identification is underway.

  • Volunteer Grant Submission Initiated: The volunteer accessed their employer’s grant form but has not yet confirmed the submission.

  • Volunteer Grant Submission Initiated (Volunteer Verified): The volunteer clicked the confirmation link in an email, verifying that they have submitted their grant request.

Manual Statuses:

These statuses are applied manually by your organization, based on specific actions:

  • Ineligible for Volunteer Grant (Did Not Attend): You log that the volunteer did not attend the event and is no longer eligible for a grant.

  • Volunteer Grant Denied: The volunteer’s grant request has been denied by the company.

  • Volunteer Grant Approved: The company has approved the volunteer’s grant request.

  • Pending Payment: The grant has been verified and submitted but is awaiting disbursement.

  • Volunteer Grant Complete: The grant funds have been received by your organization.

Employer Identification Statuses

The Employer Identification statuses track the progress of identifying a volunteer’s employer. These statuses are updated automatically as the volunteer provides their employer information:

  • Complete: Employer has been identified. 
  • In Progress: Identification is underway.
  • Declined to Provide:  Volunteer chose not to share their employment information.
