Email templates in Double the Donation Volunteering include several predefined variables that can be used to personalize communications with your donors and volunteers. These variables automatically pull data (such as names, company information, and form links) from your organization’s system and display it in the emails.

Volunteering Module Email Template Variables
Here is a list of the most commonly used email variables in the Volunteering Module, along with their descriptions:

1. - Volunteer Form Link
This variable links directly to the company’s Volunteer Grant form and Volunteer Time Off (VTO) form. This helps donors easily access their employer’s program form to submit a matching gift or PTO request.
Important: This variable is required in the Volunteer Incentives Available email stream. If removed, you’ll receive an error message when saving your email template.
2. - Company Information
This variable provides information about the Volunteer Grant and VTO programs available through the donor’s employer. It displays both programs if available, ensuring that the donor has access to all relevant information in one place.

If there is company information from our database based on the company name associated with the donor, then company information will be included in the email and will include the following:
VTO:
- VTO form
- VTO guidelines
- VTO Hours
Volunteer Grants:
- Volunteer Grant form
- Volunteer Grant minimum hours required
- Volunteer Grant corporate Donation
3. - Company Name
This variable includes the company name if a match is found. It makes emails more personalized by displaying the donor’s company name in the email, ensuring that they see the correct information for their employer’s volunteer program.
Example:
If a donor works at U.S. Venture Inc., the email will display:
"It looks like your company, U.S. Venture Inc., offers a Volunteer Grant program. Please see the below instructions to take advantage of your company's incentives."
Tip: This variable is useful for Volunteer Incentives Available email streams and helps ensure your emails are personalized to the donor’s correct company.
4. - Volunteer Program Link
This variable provides a link to the company-specific volunteer program page, where the donor can search for forms and submit matching gift or PTO requests.
Ensure that this link directs volunteers to the correct page for their employer’s volunteer incentives. This will help ensure eligibility is tracked by the system. Do not provide a hyperlink to your dedicated company-sponsored volunteering page in the email template because, if a donor uses that link to search for their employer, the company they search for will not be tracked by the volunteering module.
5. - Volunteer Grant Form Link
This variable links directly to the company’s Volunteer Grant form if available. Including this variable in the emails ensures donors can easily access the form to submit their grant request.
6. - Grant Submission Link
This variable links to a page that allows the donor to indicate that they have submitted their Volunteer Grant request.
To direct volunteers to a custom URL instead of the default Double the Donation page, enter it in the Email Customization > Redirects section.
7. - Company Information for Volunteer Grant
If an employer is identified, this variable provides company-specific details about the Volunteer Grant program. It ensures that emails are personalized for each donor and provide accurate company information.
8. - VTO Form Link
This variable links directly to the company’s Volunteer Time Off (VTO) form if available. Including this variable in emails ensures that volunteers can easily access the form.
